Construction

Every machine, every site, one register

Earthmoving, cranes, light vehicles and trailers spread across yards, depots and job sites. Gearbox shows what is due, what is done and what has an open defect, wherever the machine happens to be working.

The machine is on site. The paperwork is somewhere else.

Construction fleets scatter: the excavator is on a job two hours away, its service book is in a ute, and the yard thinks someone else booked the crane inspection. Gearbox keeps the record with the machine's name on it, not with wherever the paper ended up.

Built for a fleet that never sits still

Machines move between jobs, get hired out, and share sites with subcontractors. Every asset in Gearbox carries its own service schedule, history and status, so it does not matter where the machine is parked, the record is one search away.

Prestarts from the site, not the glovebox

Operators run the prestart on their phone before the machine starts work, offline if the site has no signal. A failed critical question tells the operator to stand the machine down, and the fault report with photos is in Gearbox before the ute is back on the highway.

Inspections and certifications that chase themselves

Annual inspections, crane certifications and registration expiries each run on their own schedule with their own reminders, and every one of them feeds the asset's traffic light. The compliance dashboard shows what is due in 7, 14 and 30 days across the whole fleet.

What construction fleets run on Gearbox

Mixed fleet, one system

Excavators, cranes, trucks, utes, trailers and attachments all tracked the same way, instead of a spreadsheet per category.

Defects become work orders

A fault reported on site is evaluated, prioritised and turned into scheduled work, not a note that waits for Friday.

Subcontractor records

Insurance, certificates and expiries for third party contractors, with reminders before they lapse.

Operator tickets

Training and licences per person, with expiry alerts, so the right ticket is in the seat.

Parts where the work is

Stock per site with transfers between them, and purchase orders raised from the job that needs the part.

History for the handover

Full service history per machine, searchable and emailable, for audits, resales and hire agreements.

A closer look for construction fleets

Every answer below is drawn from the knowledge base our customers use, with a link to the full guide.

One checklist per machine

Each asset carries exactly one prestart checklist, assigned in its settings, so choosing the machine chooses the questions. An excavator gets excavator questions, a ute gets ute questions.

Prestarts on sites with no signal

Prestart keeps working offline, flags unsynced data, and uploads automatically when the phone is back in range, so remote sites do not punch holes in the record.

Inspections separate from services

Time based inspections such as annual safety checks run on their own due dates, an asset can carry several types at once, and every one feeds the traffic light.

Contractors with their own portal

Each contractor has a profile with linked people, vehicles, reminders and documents, and a status report of what is current and what is not can be emailed to them on a schedule.

A repair from report to sign off

The repairs module tracks a job from the first fault report through parts, labour and final approval, so the whole story of a breakdown lives on one record.
